Terms and Conditions for International Educational Experiences
Provider: World Walker, LLC
Effective Date: November 1, 2024 – October 31st, 2025
1. Introduction & Purpose of Agreement
This Agreement is between the participant and World Walker LLC (“the Provider”) regarding participation in a short-term international educational experience program. By enrolling in this program, participants agree to the following Terms and Conditions, acknowledging the Provider’s policies, participant responsibilities, and the potential risks involved in international travel.
2. Definitions
● Participant: The individual enrolled in the educational experience.
● Program Provider: World Walker LLC and its authorized representatives.
● Host Country: The destination country where the program will be conducted (Japan / UAE)
3. Eligibility
To participate, individuals must:
● Be at least 18 years of age.
● Be currently enrolled in a college or university.
● Meet the health, physical ability, and documentation requirements (valid passport, visa, vaccinations, etc.).
4. Code of Conduct
Participants must adhere to the following:
● Respect all laws and cultural norms in the host country.
● Refrain from illegal activities, including substance abuse, theft, and violent behavior.
● Avoid erratic or disruptive behavior and disrespect toward program staff or affiliated persons. Such behavior will not be tolerated and may result in immediate removal from the program at the participant’s expense.
● Follow instructions from Provider staff and authorized representatives.
● Violations of this Code of Conduct may lead to dismissal from the program at the participant’s expense.
5. Payment Terms
● Program Fee: The total fee for the experience is $1,600 USD. Payment deadlines will be outlined in the payment schedule.
● Deposit: A non-refundable deposit of $500 USD is required to reserve a spot in the program by December 15th, 2024.
● Balance Due: The remaining balance is due January 15th, 2025, prior to departure.
● Late Payments: Payments made after January 15th, 2025 may incur a late fee of $250. If full payment is not made by February 15th, 2025, participants risk losing their spot on the trip.
6. Refund and Cancellation Policy
● Deposit: The initial deposit of $500 is non-refundable.
● Cancellation by Participant:
○ More than 75 days before departure date of March 14th: 50% refund of the total program fee (minus the deposit).
○ 30-80 days before departure: 25% refund of the total program fee (minus the deposit).
○ Less than 30 days before departure: No refund will be issued.
● Cancellation by Provider: If World Walker LLC cancels the program for any reason outside of Force Majeure, participants will receive a full refund, including the deposit.
● Force Majeure: In the case of events beyond the Provider’s control (e.g., natural disasters, pandemics, political instability, war), refunds will be evaluated on a case-by-case basis, with consideration given to any unrecoverable costs already incurred by the Provider.
● Travel Insurance: Participants are required to purchase comprehensive travel insurance covering trip cancellation, health, and repatriation costs. Proof of travel insurance must be provided prior to departure.
7. Passports and Visas
● Passports: All participants are required to have a valid passport for the duration of the program.
● Traveler Names: Participant names on reservations must match exactly as they appear on each traveler’s passport, including any titles or additional names (e.g., Jr., Sr.). Failure to provide accurate information may result in penalties, denied boarding, or entry restrictions.
● Visa and Document Compliance: Participants are solely responsible for obtaining and maintaining all necessary travel documents, including visas, vaccination certificates, or other country-specific requirements.
● Travel Advisories: Participants are responsible for understanding travel advisories and requirements by consulting the U.S. Department of State (travel.state.gov) and the CDC (cdc.gov). Non-U.S. residents should consult their consulates.
● Failure to Obtain Documentation: World Walker LLC will not be responsible for rerouting costs or denied entry due to improper documentation. Failure to secure necessary documentation will not nullify these Terms and Conditions.
8. Travel & Accommodations
The program fee includes:
● Lodging / Accommodations
● In-country travel to sponsored activities
● Travel between in-country cities
● Daily breakfast
● A catered group dinner
● In-country cultural immersion activities
● Entrance fees to cultural site visits
● Professional Development workshops
● International networking opportunities
● Pre-departure cohort prep sessions
● International network building opportunities
● Amazing Race activity - prize for winning team!
*Changes to accommodations or travel itineraries may occur due to unforeseen circumstances, for which the Provider is not liable.
9. Itinerary & Activities
● A detailed itinerary of activities, excursions, and educational sessions will be provided prior to departure.
● The Provider reserves the right to alter the itinerary as needed for safety, security, or logistical reasons.
● Additional optional activities may be offered at the participant’s expense.
10. Safety & Emergency Protocols
● Participants are required to follow safety instructions provided by the program staff.
● Emergency contact information for both the Provider and local authorities will be provided.
● In case of emergency (e.g., political unrest, natural disasters), the Provider will make reasonable efforts to ensure participant safety and assist with arrangements if necessary.
11. Health & Medical Provisions
● Participants must disclose any health conditions or medication requirements prior to the program.
● Each participant is responsible for ensuring they have adequate health insurance coverage in the host country.
● In case of a medical emergency, participants agree to cover the costs of care or medical evacuation, and the Provider assumes no liability for such expenses.
12. Liability & Waiver of Claims
● World Walker LLC shall not be liable for any personal injury, loss, or damage to property incurred during the program.
● Participants assume all risks associated with travel and activities, including but not limited to accidents, injury, or health issues.
● By signing this Agreement, participants waive any claims against the Provider for incidents outside its control.
13. Indemnification
Participants agree to indemnify and hold harmless World Walker LLC and its staff against any claims arising from their actions during the program.
14. Assumption of Risk
Participants acknowledge that international travel and activities involve certain risks (e.g., accidents, illness, loss of property). By joining, participants assume all associated risks, whether foreseen or unforeseen.
15. Photo and Video Release
Participants grant World Walker LLC the right to use photos or videos taken during the program for promotional and educational purposes unless otherwise stated.
16. Intellectual Property Rights
All materials, documentation, and experiences provided by World Walker LLC are proprietary. Participants agree not to replicate or distribute these materials without written permission.
17. Confidentiality & Privacy
● Personal data provided to World Walker LLC will be kept confidential and only shared as necessary for the program.
● The Provider complies with relevant privacy laws regarding the handling of personal information.
18. Force Majeure
In the event of a Force Majeure (e.g., natural disaster, pandemic, war), World Walker LLC reserves the right to cancel or reschedule the program. Refunds or credits may be provided at the discretion of the Provider based on the circumstances and unrecoverable costs.
19. Termination & Withdrawal
● World Walker LLC reserves the right to terminate a participant’s involvement in the program for any violations of this Agreement or if their behavior compromises the safety or experience of others.
● Participants who choose to leave or are removed from the program are not eligible for refunds and will be responsible for all expenses incurred.
20. Governing Law & Jurisdiction
This Agreement shall be governed by and construed in accordance with the laws of the United States, specifically the State of Texas. All disputes arising under this Agreement shall be resolved in the courts of Texas.
21. Acknowledgment of Understanding
By signing below, participants confirm they have read, understood, and agree to the Terms and Conditions outlined in this Agreement, including the refund and cancellation policies, the assumption of risks, the Code of Conduct, and the requirement to purchase travel insurance.
